2021 IHCA/INCAL Spring Conference

Health & Safety

Our Top Priority

Your Health & Safety

Your safety and well-being is our top priority.  This year, we have been working diligently to build on our commitment to deliver a safe, comfortable, and stress-free conference experience. We are partnering with French Lick Spring Resort and are following their enhanced safety and rigorous cleanliness protocols in addition to the safety guidelines outlined by the Centers of Disease Control and the Indiana Department of Health to ensure you participate with confidence.

Steps We Are Taking

We are partnering with The French Lick Springs Hotel and their Conference Center team to prioritize your health and safety during these unprecedented times. Please be rest assured that the hotel and conference center will be following all local health department and CDC safety guidance and procedures during our event.

  • Reduced venue capacity and limited number of attendees: The French Lick Spring Resort is operating at a reduced capacity and this event will be open to only a limited number of attendees to allow plenty of space for social distancing.
  • Cleaning and Disinfection: Enhanced cleaning and disinfection with special attention to high-touch areas.
  • Face masks: All attendees will required to wear face masks or coverings in all indoor venues, and in outdoor public spaces when unable to maintain a safe social distance.
  • Temperature checks: All attendees entering the resort and conference center will be given a temperature check. Anyone with a temperature of 100.4 or higher, as well as those riding in the same vehicle, will not be allowed to enter.  In the event someone tests positive while on property, they will need to immediately quarantine until security staff can escort them off property.
  • COVID-19 Screening: Screening questions will be asked upon conference registration/check-in
  • Assigned Seating: Attendees will be assigned seats in the meeting space.
  • Hand-sanitizing stations: These have been added throughout the resort and conference center.
  • Signage: All areas will be clearly marked with large signs to encourage six-foot social distancing.
  • Modified layouts: Conference Center attendees will be asked to follow a one-way pattern in exhibition areas and in the meeting space. Meeting room set ups have also been reconfigured.
  • Crowd management: Only one vendor/exhibitor is allowed per table or booth and only one attendee can visit a vendor/exhibitor table or booth at one time.
  • Food and Restaurant venues are operating at limited capacity to allow for social distancing. Limit of six people at a table.
  • Per current state mandate, guests must remain seated while consuming food or drink at restaurants and in the conference center.
  • Restaurants have single-use menus, and self-serve items like condiments have been removed.
  • High-touch items are cleaned and disinfected between guests.
  • The resort has equipped all food service associates with personal protection gear, including face masks and single-use gloves. All personal hygiene requirements are being reinforced, with special attention to hand hygiene.
  • For overnight guests, daily housekeeping services and nightly turn-down service have been suspended. All non-essential items such as magazines and menus have been removed from guestrooms.
  • Guests are encouraged to pay by card during their stay. Credit, debit or gift cards are accepted at resort venues. While cards are preferred, cash is also accepted.
  • The resort encourages no more than three people per elevator.
  • Valet parking has been suspended.
  • Hotel swimming pools and fitness centers are open with limited occupancy. Retail shops are open with limited hours.

  • Despite the precautions listed above that will be implemented during the event, attendees at in-person meetings/conferences should acknowledge that there is a risk of contracting COVID-19 infection and that IHCA/INCAL cannot prevent and is not responsible for such risk of infection to any person who chooses to attend meetings/conferences. IHCA/INCAL requests that anyone who is experiencing COVID-19 symptoms or has been exposed to a COVID-positive individual to stay home to avoid the risk of infection to others. Additionally, all attendees are expected to:
  • Follow appropriate hand hygiene and respiratory etiquette by washing hands often and covering coughs and sneezes.
  • Wear a CDC/WHO recommended face covering at all times during the event
  • Avoid handshakes
  • Per physical distancing guidelines, stay at least six feet from other attendees even if they are wearing face coverings.
  • Take everyday precautions to stop the spread of germs

We understand that the COVID-19 pandemic is far from over and we will continue to monitor the status in the months leading up to the conference. We are proud to offer liberal refund policies at IHCA/INCAL.
